Confirm what Virgil prepares

Virgil Copilot doesn’t change things on its own. When you ask it to do something, such as set a reminder or mark a task done, it shows a card with exactly what it will do. The change happens only when you select Confirm.

  1. Read the card. It is labelled Needs your OK.

The card has a title, such as “Reminder for you, Fri 31 Oct 09:00” or “Complete: Debtors reconciliation”, and a box showing the details, such as the message text or the change of status.

  2. Choose what to do:

    • Confirm makes the change.
    • Edit lets you change a task before it is delegated. It only appears on cards for delegating a task.
    • Not now declines it. Nothing changes.
  3. Read the result on the card.

While VirgilTrack saves, the card shows “Saving…”. When it is done, the card says what happened, for example “Reminder set for you on Friday 31 October at 09:00.”

If Virgil prepares two or more changes at once, a bar above the message box says how many are “waiting for your OK”. Select Confirm all to confirm them all, or Not now to decline them all.

Label What it means
Needs your OK Waiting for you. Nothing has changed yet.
Saving You confirmed it, and VirgilTrack is making the change.
Done The change was made. The card says what happened.
Didn’t work The change couldn’t be made, and nothing was changed. The card says why.
Cancelled You selected Not now. The card says “Not done”. Nothing was changed.
Expired The card is too old to confirm. Nothing was changed.

A card you changed with Edit also has a small edited tag.

When Virgil prepares a task for someone, you can change it before you confirm.

  1. Select Edit on the card.

A window opens, headed Edit the task.

  2. Change what you need:

    • What needs doing: the task’s title, and its details and expected result underneath.
    • Who: the person. Each name shows their department and how many open tasks they have.
    • Due: the due date. It can’t be in the past.
    • Priority: Low, Medium, High or Critical.
    • Initiative: the initiative the task belongs to. Type in “Search initiatives or objectives…” to narrow the list.
  3. Select Save changes.

Save changes only works when the task has a title, a person, an initiative and a due date from today on. Cancel closes the window without changing the card.

  4. Check the card again, then select Confirm.

When you confirm, VirgilTrack checks everything again: that the initiative is still there, that the person can still be given work, and that the due date isn’t in the past.

When you add or change your mobile number with Virgil, you confirm a card first, and VirgilTrack sends you a verification code by text (or reads it out in a phone call). When you then tell Virgil the code, it checks it straight away, with no second card. If the code is right, your number is verified and VirgilTrack is allowed to text and call you. To keep texts and calls off, say so when you give the code. See What Virgil can do: your settings.

  • After 30 minutes. A card left unconfirmed for 30 minutes can’t be confirmed any more. If you select Confirm, it says “This proposal is too old. Ask again so it’s based on current data.”
  • When you leave the conversation. If you open an earlier conversation later, any card you hadn’t confirmed shows Expired and “Not confirmed before the conversation was closed.”
  • When you ask again. If you select Regenerate on an answer, that answer and its cards are taken away and Virgil answers again. Cards you hadn’t confirmed are cancelled. Changes you had already confirmed stay made.

To go ahead, ask Virgil again. It prepares a new card from the latest information.

The card shows Didn’t work and the reason, for example:

Reason on the card What to do
“That initiative isn’t available any more.” Ask Virgil again, and choose another initiative.
“The due date is in the past.” Ask again with a later date, or select Edit on a new card.
“That person can’t be assigned.” The person’s account may be locked. Choose someone else.
“The task no longer exists.” Someone removed the task. Check your task list.
“It couldn’t be saved. Nothing was changed.” Try again. If it keeps happening, tell your administrator.
