Work reports and records
Every week, each person in your organisation writes down what they did. VirgilTrack turns those notes into a short report for the person they report to. Managers pass the most important points on to the CEO, and the CEO turns a month of reports into a report to Council.
How reports travel up
Section titled “How reports travel up”- Staff write their week. Each day, you write what you worked on. At the end of the week, VirgilTrack turns your notes into a tidy report. You check it and submit it to your manager. See Your weekly report.
- Managers build a team report. A manager reads the reports of the people who report to them and ticks the points that matter. VirgilTrack combines the ticked points into the manager’s own report, which the manager checks and submits. See Review your team’s reports.
- The CEO writes the monthly report. The CEO sees every weekly report sent to them in a month, picks what goes in, and Virgil writes a draft report to Council. The CEO edits it and downloads it as a PDF. See The CEO’s monthly view.
Who sends their report to whom is set in your organisation’s reporting hierarchy. See Who your report goes to.
Open your work reports
Section titled “Open your work reports”Select Work Reports in the menu on the left. VirgilTrack opens the page that matches your role:
| You are | The page that opens | What it says at the top |
|---|---|---|
| Employee | Your own weekly report. | Weekly work report and the week, for example Week 43. |
| Manager | Your team’s weekly reports, and your own report. | Team weekly report and today’s date. |
| CEO | The weekly reports sent to you this month. | Executive briefing and the month, for example October in review. |
If your organisation has a strategic plan, you can also open the same page inside Execution, from Execution, then Work Reports. See Find your way around Execution.
Platform administrators don’t write work reports, so Work Reports doesn’t open a report page for them.

Weeks and months
Section titled “Weeks and months”A week runs from Monday to Sunday. Weeks are numbered through the year, and week 1 is the week that contains 4 January. For example, Week 43 of 2026 runs from 19 to 25 October.
The CEO’s page works by calendar month, and shows the weeks of the month you choose.
Reminders about reports
Section titled “Reminders about reports”VirgilTrack reminds people when a report is still open. The times below follow VirgilTrack’s own clock, not the time zone in your settings.
| When | Who | What they get |
|---|---|---|
| Fridays at 14:00 | Staff whose report for this week isn’t submitted. | An email, “Your week 43 report is ready to submit”, with an Open my report button. |
| Mondays at 08:30 | Staff whose report for last week still isn’t submitted. | An email, “Last week’s report (week 42) is still open”, with a Finish and submit button, and a notification in VirgilTrack. |
| Mondays at 09:00 | Managers whose report for last week isn’t submitted. | An email, for example “Week 42: 3 of 4 team reports are in, yours is next”, that also names who is still missing, and a notification in VirgilTrack. |
| Any time | People a manager or the CEO reminds by hand. | A notification in VirgilTrack. A reminder from the CEO also comes by email, unless the person has switched those emails off. |
To stop these emails, open Settings, then Notifications and untick Email for Weekly report reminders or Team report reminders (managers). A reminder from the CEO counts as one of your Reminders. The notifications in VirgilTrack still come. See Choose how reminders reach you.
Your work record
Section titled “Your work record”VirgilTrack also keeps a record of the work you finished: tasks you were given and how you did them, work you delegated, and what you wrote in your weekly reports. You can issue it as a PDF that a future employer can check online. In this version of VirgilTrack, only platform administrators can open the Work Record screen. See Your work record.
