Suggestions and activity prompts
Much of your work already happens in VirgilTrack: you add risks, implement controls, plan events. VirgilTrack turns these actions into ready-made sentences for your work report, so you don’t have to remember and retype them.
Where the sentences come from
Section titled “Where the sentences come from”VirgilTrack writes a sentence when you:
- add a new risk, including one added from the risk repository;
- assess a risk;
- mark a risk as mitigated;
- mark a risk control as implemented;
- comment on a risk control;
- add an event or task to the calendar.
Each sentence is written in your voice, as you would put it in a formal report. It can take a little while to appear after you act. For managers and the CEO, work VirgilTrack found in your email also becomes a prompt when you open your Work Reports page, if you have connected your mailbox.
Who sees them
Section titled “Who sees them”Only you. A sentence is only offered to the person who did the work. Nobody else sees it unless you put it in your report.
Sentences are offered in the month they were written. At the start of a new month, the list starts again.
Staff: Suggested by your manager
Section titled “Staff: Suggested by your manager”On your weekly report, the sentences appear in the Suggested by your manager card, below the day’s box. Despite its name, the card holds the sentences VirgilTrack wrote about your own work this month.
- Open Work Reports.
- Select the day the work belongs to.
- In Suggested by your manager, find the sentence and select Add to and the day, for example Add to Thursday.
- Select Yes, I confirm.
The sentence is added to the end of that day’s entry, and leaves the list. You can change its words like anything else you wrote.
To hide a sentence you don’t want, select Dismiss, then Yes, forget. It doesn’t come back.
The card only shows while your report is a draft.
Managers and the CEO: Activity prompts
Section titled “Managers and the CEO: Activity prompts”On a manager’s or the CEO’s work reports page, the sentences appear as Activity prompts, with a tick box each.
- Managers tick prompts on their page. When VirgilTrack builds your draft, it uses the ticked prompts together with the points you ticked from your team. See Submit your team report.
- The CEO ticks prompts under Read and pick points, or in the report window before writing the draft. See Write the monthly report.
Work found in your email shows the day it happened at the start, for example “Wed 21 Oct: Sent the revised tariff schedule to the Ministry”. A manager is offered the email work of the current week. The CEO is offered the current month’s.
Prompts can’t be dismissed. Leave the ones you don’t want unticked.
Ticks on prompts aren’t saved: if you leave or reload the page, tick them again. Once VirgilTrack has written a draft from them, the ticks are cleared, but the prompts stay in the list for the rest of the month.
