Open, download and manage files
Once a file is in the File Manager, anyone in your organisation can open it, download a copy, rename it, move it to another folder or delete it.
Each file’s actions are behind the button with three dots at the end of its row: Download File, Rename, Move to folder and Delete.
Open a file
Section titled “Open a file”Select the file’s name in the list. It opens in a new browser tab.
Pictures, videos, PDF documents and text files usually open in the tab itself. Close the tab to come back to the File Manager.
Download a file
Section titled “Download a file”- Open the folder that holds the file.
- Select the button with three dots at the end of the file’s row, then Download File.
Your browser saves a copy of the file, usually in your Downloads folder. The copy may have a different name from the one shown in the File Manager, for example if the file was renamed there. Rename the copy on your computer if you need to.
Rename a file
Section titled “Rename a file”- Select the button with three dots at the end of the file’s row, then Rename.
- Change the name in the box.
- Select the tick button to save, or the cross button to keep the old name.
You see “File successfully renamed”. The new name is what everyone in your organisation sees.
You can only rename one item at a time. If you start renaming another file or folder first, you see “Unsaved input detected. Please save or cancel the current item”.
Move a file to another folder
Section titled “Move a file to another folder”-
Select the button with three dots at the end of the file’s row, then Move to folder.
A window opens, “Choose location to move the file: “…”“. It lists every folder in your organisation, with its path, for example Root\Finance\Audit 2025.
-
To find a folder quickly, type part of its name in Search folder.
-
Select Move here beside the folder you want.
-
Check the file and the destination folder in the window that asks you to confirm, then select Yes, I confirm.
You see “Success” and a message that the file “was successfully moved to the following folder path”. The window closes, and the file is now in the folder you chose.
A file must always be in a folder, so Root isn’t offered as a destination.
Delete a file
Section titled “Delete a file”-
Select the button with three dots at the end of the file’s row, then Delete.
You see “Confirm!” and “You are about to delete the file …”.
-
Select Continue to delete it, or Cancel to keep it.
