Create and organise folders

Hierdie inhoud is nog nie in jou taal beskikbaar nie.

Folders keep your organisation’s documents in order. Create a folder for each area of work, then folders inside it as you need them, for example “Finance > Audit 2025 > Evidence”.

Everyone in your organisation sees the same folders, and anyone can change them. Agree with your colleagues how you organise them.

  1. Open File Manager from the menu on the left.

  2. Go to where the new folder belongs: stay at Root for a top-level folder, or open the folder it should go in.

  3. Select New Folder.

A new row appears at the top of the list.

  4. Type the name in Enter the folder name.

  5. Select the tick button beside the box. To stop without creating the folder, select the cross button.

A new row at the top of the File Manager list with the Enter the folder name box, a tick button to create the folder and a cross button to cancel
Naming a new folder

You see “… was created”, and the folder appears in the list. Everyone in your organisation can now see it, and add files to it.

  1. Find the folder in the list.
  2. Select the button with three dots at the end of its row, then Rename.
  3. Change the name in the box.
  4. Select the tick button to save, or the cross button to keep the old name.

You see “Folder successfully renamed”.

You can only rename one item at a time. If you start renaming another folder or file before saving or cancelling the first, you see “Unsaved input detected. Please save or cancel the current item”.

Move a folder to put it inside another folder, or back at Root. Everything inside it moves with it.

  1. Select the button with three dots at the end of the folder’s row, then Move to folder.

A window opens, “Choose location to move the folder: “…”“. It lists Root and every folder in your organisation, with its path, for example Root\Finance\Audit 2025.

  2. To find a folder quickly, type part of its name in Search folder.

  3. Select Move here beside the place you want.

  4. Check the folder and the destination in the window that asks you to confirm, then select Yes, I confirm.

You see “Success” and a message that the folder “was successfully moved to the following folder path”. The window closes.

  1. Select the button with three dots at the end of the folder’s row, then Delete.

You see “Confirm!” and “You are about to delete the folder …”.

  2. Select Continue to delete it, or Cancel to keep it.

You see “Success!” and “The folder … and its subcontents were successfully deleted”. The folder is gone for everyone in your organisation.

What you see Why, and what to do
“Folder name cannot be empty” You selected the tick button before typing a name, so the new row closed. Select New Folder again, type the name, then select the tick button.
“Failed to create folder … on the file server”, or another error when you create a folder VirgilTrack couldn’t store the folder. Try again later. If it keeps happening, tell your administrator.
“Unsaved input detected. Please save or cancel the current item” You are already renaming something. Select the tick or the cross on that row first.
“An error occured: …” or “An unexpected error occured. Refresh the browser or try again later.” when you delete a folder The folder couldn’t be deleted. Reload the page and try again.
