Statuses and labels

Hierdie inhoud is nog nie in jou taal beskikbaar nie.

This page explains the statuses and labels you see on VirgilTrack’s screens, in one place. Labels are written exactly as they appear on screen, so some are capitalised differently from one screen to the next.

For the meaning of other words, see the Glossary.

Status What it means How a risk gets it
Not assessed The risk has no likelihood and impact yet, so it has no score. You copy it from the Risk Repository with Copy Selected. Only its owner can assess it.
New The risk has been identified, but no actions have been taken yet. You add it with Add risk, or move its card back to Yet to Start on the Kanban board.
In Progress Actions are being taken to reduce the risk. Its owner assesses it, or someone moves its card to Under Control on the Kanban board.
Mitigated The risk has been dealt with and is under control. Someone selects Mark as mitigated once all its controls are implemented, or moves its card to Mitigated on the Kanban board.
Archived The risk has been put away and is no longer worked on. Nothing is deleted. Someone selects Archive in the risk register.

Risks that are Not assessed, Mitigated or Archived can’t be edited. Moving a card to Mitigated on the Kanban board only changes the status; see The Kanban board.

The buttons at the top of the risk register show one group of risks at a time, each with a count.

Group What it shows
Active Risks that are New, In Progress or Not assessed. The register opens on this group.
Not assessed Risks still waiting for their owner to assess them.
Mitigated Risks marked as mitigated.
Archived Risks that have been archived.
All Every risk in the register.

Each assessed risk has a score out of 10, and the score gives its level. See How risk scores work.

Level Score
Low Below 3.5
Moderate 3.5 to below 6.5
High 6.5 to below 8.0
Critical 8.0 and above
Not assessed No score yet
Column Label What it means
Controls None The risk has no controls yet.
Controls A bar and a count such as 2/3 Two of its three controls are implemented. Controls the AI suggested and nobody accepted aren’t counted.
Next review A date in red with overdue The review date of a New or In Progress risk has passed.
Next review – The risk is Not assessed, so no review is planned.
Alignment Strategic and a number, such as Strategic (2) The risk threatens that many objectives in your strategic plan. Point at the badge to see which.
Alignment Operational The risk doesn’t threaten any objective.

The filters on these columns use the words No controls, All done and In progress (controls), and Not scheduled, Overdue, Within 7 days and Later (next review). See The risk register.

On a risk’s Controls tab, each control shows one of these labels:

Label What it means
To do The control isn’t implemented yet, and its Done by date hasn’t passed.
Overdue The control isn’t implemented yet, and its Done by date has passed.
AI suggestion The AI suggested this control. It isn’t on the risk’s to-do list until someone selects Accept as a control.
Implemented Someone marked it as implemented. Its window says “Implemented by” and their name.

The filters above the list are To do, Done, AI suggested and All. See Risk controls.

These are the statuses on a task’s own page:

Status What it means
Not started Nobody has started the task yet.
In progress The person it is for has started it.
Blocked The person it is for can’t move forward, and has said why.
Done The work is finished, and whoever finished it has said how.
Overdue The task is marked as late.
Rescheduled The task’s due date has been moved.

Some other screens, such as the calendar’s task panel, write In Progress. A finished task can also show Verified by and the name of the lead who checked it.

Beside the status, a second badge shows the due date. It turns red once the date has passed, even when the status hasn’t changed:

Due badge What it means
Overdue by and a number of days, such as Overdue by 3 days The due date has passed.
Due today, Due tomorrow The task is due very soon.
Due and a day, such as Due Friday, in 4 days The task is due within a week.
No due date The task has no due date.
Done and a date The day the task was finished.

On the Tasks page, the board view groups tasks into four lanes:

Lane Tasks in it
To do Tasks that are Not started, Overdue or Rescheduled
In progress Tasks that are In progress
Blocked Tasks that are Blocked
Done Tasks that are Done

Dragging a card to Done opens the task’s page, so you can say how it was done. See Tasks.

Label What it means
Low priority, Medium priority, High priority, Critical priority How urgent the task is.
Suggested by VirgilTrack VirgilTrack suggested the task.
From the email and the email’s subject The task came from work found in your connected mailbox. See Tasks from your email.

On the KPIs page, each KPI has a status for the current plan year. It compares the KPI’s actual result with this year’s target.

Status What it means
On track The result has reached this year’s target.
At risk The result is at least 75% of the way to the target, but hasn’t reached it.
Off track The result is less than 75% of the way to the target.
No data yet No result has been recorded for this year.

An objective’s status works the same way, from the average of its KPIs that have a result. Some screens write these statuses with capitals, such as On Track, or show No data. See The KPIs page.

Execution, then Manage lists your organisation’s strategic plans, each with one of these statuses:

Status What it means
Active The plan has been approved. It is the plan the Execution pages use.
Awaiting approval The plan has been sent for approval and is waiting for an answer.
Draft The plan hasn’t been sent for approval yet, or it was rejected and sent back for changes.

See Bring in your strategic plan.

On the Budget page, each initiative with an allocated budget for the year shows a funding status. VirgilTrack works it out like this:

Funding status When it shows
Fully Funded The secured amount covers the whole allocated budget.
Seeking External Grant or Awaiting Ministry Approval Part of the money isn’t secured yet, and this status was chosen for the initiative.
Partially Funded Some of the money is secured, but not all.
Unfunded None of the money is secured.

An initiative with no allocated budget for the year shows No allocation yet instead. The Funding Gap is the part of the allocated budget that isn’t secured; it is never less than zero. See The Budget page.

Label Where What it means
Draft Your weekly report You haven’t submitted the report yet. The person you report to can’t read it.
Submitted Your weekly report You have sent the report.
Not submitted yet Your team’s reports (managers) This person hasn’t submitted their report. You can’t pick their points yet.
No points Your team’s reports (managers) This person submitted a report with no points.
A count such as 2 of 5 picked Your team’s reports (managers) You have ticked two of this person’s five points.

See Work reports and records.

Label What it means
Done by and a name Someone marked the calendar task as done. The first person to do it marks it done for everyone involved.
did it Beside a person’s name: this person is the one who marked it as done.

Archive task… retires a calendar task without marking it done. You give a reason, which is kept with the task. See Calendar and reminders.
