What Virgil can do
Hierdie inhoud is nog nie in jou taal beskikbaar nie.
Virgil Copilot can look up most of your work in VirgilTrack and prepare changes for you. This page lists what you can ask, with examples. Type them as they are, or in your own words.
Anything marked prepares a change appears as a card. Nothing happens until you select Confirm. See Confirm what Virgil prepares.
Your tasks
Section titled “Your tasks”Virgil sees the work assigned to you: your strategy tasks, calendar tasks for you or your department, and the risk controls you are responsible for.
| You can ask | Example |
|---|---|
| What you have to do: open, overdue, due this week, or done recently. | “What’s overdue, and what should I do first?” |
| The details of a task, with its latest messages. | “Summarise this task for me” (on a task’s page) |
| To start, finish or block a task. Prepares a change. | “Mark the debtors reconciliation as done. I matched all the January receipts.” |
| To give a strategy task a new due date, with a reason. Prepares a change. | “Move the asset register task to next Friday, the valuer is late.” |
| To post a message on a task, and bring someone in with @ and their name. Prepares a change. | “Post on the audit pack task: draft is ready, @Inna Taapopi please review.” |
| How similar work was done before, by whom and how long it took. | “How did we prepare the WIP schedule last time?” |
Who may change a task:
- A strategy task can be changed or rescheduled by the person it’s assigned to, the person who created it, or a manager.
- A calendar task can only be marked done, by the people or department it’s assigned to, or its creator.
- A risk control can only be marked implemented, by the person responsible, its creator, the risk’s owner or a manager. A control that VirgilTrack’s AI suggested must first be accepted on the risk’s page.
Your weekly report
Section titled “Your weekly report”| You can ask | Example |
|---|---|
| What your report for this week or an earlier week says. | “What have I written in this week’s report?” |
| A draft entry for a day, written from what VirgilTrack recorded you doing and in your usual style. Prepares a change. | “Draft today’s entry from what I did” |
| What you did but forgot to report this week. | “What did I forget to report this week?” |
| To add text to a day of this week’s or last week’s report. Prepares a change. | “Add to Tuesday: met the auditors about the asset register.” |
Virgil only adds to a report that isn’t submitted yet. It doesn’t submit your report: you do that on the report page. See Your weekly report.
Strategy and KPIs
Section titled “Strategy and KPIs”| You can ask | Example |
|---|---|
| How the approved strategic plan is doing: objectives, KPIs against targets, and task progress. | “How is our strategy doing this period?” |
| About one KPI: what it measures, its targets and actual values, and its latest review. | “Tell me about the revenue collection KPI.” |
| About initiatives: find them, see their tasks, budget, spending and latest progress. | “Which initiatives have overdue tasks?” |
| How your own work this week links to the strategy. | “How does my work connect to the strategy?” |
| To update an initiative’s progress note (what has happened and what’s next), with an estimate of progress if you like. For initiative leads, managers and the CEO. Prepares a change. | “Write a progress note for the water meter initiative: about 60% done.” |
| To record a KPI’s actual value for the current period. Only for the CEO and people allowed to review KPIs. Prepares a change. | “Record 78% for the billing accuracy KPI this period.” |
Reminders and messages
Section titled “Reminders and messages”| You can ask | Example |
|---|---|
| A reminder at a set time, for you or a colleague, by email, text or a phone call that reads it out. It always appears in VirgilTrack too. Prepares a change. | “Remind me tomorrow at 9 to call Council about the invoices, call me.” |
| To send a message to you or a colleague now, by email, text or a phone call. Prepares a change. | “Email Inna now that the board pack is ready.” |
| To test that your emails, texts and calls reach you. Prepares a change. | “Test my notifications” |
- Reminders can be set up to six months ahead.
- Every reminder appears in VirgilTrack. It is also emailed, unless the person has switched off email for Reminders in their notification settings. If you don’t say how, email is what Virgil chooses.
- A reminder by text only arrives if the person has texts switched on for Reminders in their notification settings, a verified mobile number, and texts and calls allowed.
- A reminder by phone call needs a verified mobile number, with texts and calls allowed. A colleague is called only if they have switched on calls for Reminders. Your own reminders can always call you.
- A reminder’s text or call never comes between 20:00 and 07:00 in the person’s time zone. It waits until 07:00.
- A text or call you send a colleague now isn’t sent between 20:00 and 07:00 their time. The card tells you, so you can email them instead.
See Reminders.
Private chat
Section titled “Private chat”| You can ask | Example |
|---|---|
| Who you have been chatting with, and unread messages. | “Summarise my recent chats” |
| What was said in a chat with one person. | “What did Brandon and I agree about the audit file?” |
| To send a chat message in your words. Prepares a change. | “Reply to Brandon: thanks, I’ll send it by noon.” |
See Private chat.
Your settings
Section titled “Your settings”| You can ask | Example |
|---|---|
| What your settings are: profile, phone, time zone and notifications. | “Show me my notification settings” |
| To change your name, office number or profile privacy. Prepares a change. | “Change my office number to 061 123 4567.” |
| To set your time zone from a city or country. Prepares a change. | “Set my time zone to Windhoek.” |
| To switch email, text or calls on or off for a kind of notification. Some can’t be switched off, such as work assigned to you. Prepares a change. | “Stop emailing me about kudos.” |
| To switch email contact, or texts and calls, on or off altogether. Prepares a change. | “Don’t send me texts or calls.” |
| To add or change your mobile number. VirgilTrack sends you a code, and you give Virgil the code. Prepares a change. When you give the code, Virgil verifies the number straight away, without a second card. This also allows texts and calls, unless you say you don’t want them. | “Add my number +264 81 234 5678.” |
| To ask for your account to be closed. Your CEO and administrators are told. Accounts are never deleted directly. Prepares a change. | “I’m leaving at the end of the month. Please close my account.” |
Virgil can’t change your password or sign-in email. It tells you where to change them. See Your profile and sign-in details.
Your work record and other departments
Section titled “Your work record and other departments”| You can ask | Example |
|---|---|
| What VirgilTrack recorded about your work over a period, up to three years: work delegated to you and how you did it, and work you delegated. Managers can also ask about someone who reports to them or works in a department they manage. The CEO can ask about anyone in the organisation. | “What have I done this year?” |
| What other departments wrote in their work reports that affects your department. | “What’s happening elsewhere that affects us?” |
| When something was done, or who worked on it, from weekly report entries. Virgil looks back 12 weeks unless you ask for longer, up to a year. | “When did we last update the debtors list?” |
Weekly report searches cover your own reports. Managers also search their team’s reports, and the CEO searches everyone’s. See Your work record.
Finding your way
Section titled “Finding your way”Ask where anything is, such as “Where do I change my password?”. Virgil gives directions in the words on your screen and a button that opens the place. See Ask Virgil where something is.
Emotional intelligence
Section titled “Emotional intelligence”| You can ask | Example |
|---|---|
| Help to prepare a real, difficult conversation. Virgil works only from what you describe. For your own direct reports, it also uses workload facts. | “Help me prepare a check-in with Tendai. She’s been quiet and two tasks slipped.” |
| To send kudos to a colleague. Prepares a change. | “Send Naledi kudos for finishing the Gobabis WIP early.” |

Where your team’s work is stuck
Section titled “Where your team’s work is stuck”VirgilTrack looks for execution insights in tasks and work reports: tasks that are struggling or have gone quiet, weak reporting, and skills the team may be missing. Each insight has evidence and a recommended action.
On the team weekly report pages, a card may appear: “VirgilCopilot noticed something in your team’s work”. Select Show me to ask Virgil about it, or Later to hide the card until tomorrow.
| You can ask | Example |
|---|---|
| What is stuck and what Virgil recommends. | “What needs my attention in my team’s work?” |
| To give the task behind an insight to someone else. Prepares a change. | “Reassign it to the person you suggested.” |
| To ask the person on a quiet or struggling task for an update. Prepares a change. | “Ask her for an update on it.” |
| To put a recommended workshop in the calendar, with its attendees and facilitators. Virgil asks you for the date and time. Prepares a change. | “Plan that reporting workshop for next Thursday at 10.” |
| To dismiss an insight that isn’t relevant, or snooze it for a week. Prepares a change. | “That one isn’t relevant: she’s on leave.” |
The monthly report
Section titled “The monthly report”Wie kan dit gebruik:HUB
Virgil can compile the CEO’s monthly report from everything in the managers’ submitted weekly reports. Prepares a change.
- Ask “Compile this month’s report from everything”, or name another month.
- If the month’s report is already compiled, Virgil tells you. It replaces your draft only if you ask it to compile the report again.
- You then review and submit the report yourself, from the month’s report on the work reports page.
What Virgil doesn’t do
Section titled “What Virgil doesn’t do”- Submit your weekly report.
- Delete anything.
- Change someone else’s report.
- Create, close or change people’s accounts, or change roles and permissions. (It can pass on your own request to close your account.)
- Change your password or sign-in email.
- Look up or change the risks in your risk register. It only works with risk controls: the ones you are responsible for, which it can mark as implemented, and finished controls when you ask how similar work was done.
When you ask for something VirgilTrack doesn’t support yet, Virgil says so and passes your request on to the VirgilTrack team.
